BJJ Staff Agreement Policy

This Policy Outlines The Expectations And Responsibilities Of All Staff At Suhba Club. Our Aim Is To Create A Safe, Nurturing And Professional Environment For Every Child

By Signing This Policy, You Agree To:

- Uphold Suhba Club’s values of sincerity, kindness and fairness.

- Fulfil your duties with professionalism, reliability and consistency.

- Follow safeguarding, health & safety, and data protection requirements at all times.

- Communicate clearly and promptly with Suhba management regarding any changes, issues or concerns.

- Work collaboratively with other staff and volunteers to ensure the smooth running of sessions.


The following terms apply to all staff:

1. Lesson Cancellations & Absences

- If you’re unable to attend a session, it’s helpful to give 1–2 weeks’ notice so we can plan ahead and make sure the children’s routine runs smoothly.

- For illness or emergencies, just let us know as soon as you can on the day, ideally before the session starts.

- We understand that unexpected things happen, and occasional absences are completely understandable.

- Being on time really helps the children get the most out of the session and keeps everything running smoothly.

2. Teaching Days

- You are expected to attend on the agreed teaching days which is - Mondays, 11:30am – 1:00pm.

- Any changes to teaching days should be discussed and approved in advance by the management team..

3. Pay

- Payment will be made via bank transfer, with the reference “BJJ”. The agreed pay for each session is £30 and will be reviewed as necessary.

- Payment will be made one month in advance, before the start of the month.

- Any changes or increases to pay will be communicated and confirmed in writing by Suhba management.

- Individual pay is confidential, reflecting the staff member’s role, responsibilities, and experience. This information must not be shared or discussed outside of management.

5. Safeguarding & Checks

- To keep everyone safe, all staff need to have a valid DBS check in place before working with the children, or be in the process of applying for one.

- Staff should also have up-to-date First Aid training or be happy to attend training sessions arranged or approved by Suhba.

6. Data Protection (GDPR)

- We take privacy very seriously. Staff should never share, copy or pass on any personal information about children, parents or other staff outside of Peak Performance.

- Any records or details should be kept confidential and used only for Suhba-related purposes, helping us maintain the trust families place in us.

- If personal information is accidentally or deliberately shared, we’ll treat it as a serious matter. We’ll work with you to understand what happened and take the appropriate steps.

7. Breach of Policy

- If there is ever a concern regarding how the policy is being followed, we will address it in a thoughtful and fair manner.

- Initially, we will have a friendly, formal discussion with you to understand the situation and provide guidance.

- If necessary, a written note may be issued outlining the concern and any agreed-upon next steps.

- In cases where the issue continues, there may be a temporary pause from sessions while we work together to find a suitable solution.

- For serious or repeated breaches, it may be necessary to review your role with Suhba. Our primary aim is always to support staff to improve and succeed, while ensuring the children’s safety and the smooth running of sessions.
